Lease Administrator Job Summary:

We are looking to hire a successful candidate who has a degree in finance, business, or accounting, or related field. The lease administrator is responsible for the accuracy of the database information, timeliness of reporting internal, and the facilitation of day to day requirements between portfolio coordinator and account manager. The person shall administer normal and daily operations for the client account. The job responsibilities of a lease administrator include workflow processing, document processing, identifying invoices that match the rent forecast and resolve exceptions, run and prepare monthly reports including executive summary, updating database using quality assurance reporting revised by the accounts manager, advice accounts manager of account status via weekly bin tie-out and document tracking tools, participate in and complete project work as assigned and complete CPI rent adjustments.

Lease Administrator Responsibilities and Duties:

  • Managing the commission calculation and payment process
  • Process all invoice for payment on obtaining the approval from asset management
  • Oversee and track tenant improvement allowances and ensure improvement is being administered properly
  • Maintain soft copy files for all floor plan and tenant as built as requested
  • Abstract all new leases, enter and manage all lease notes maintaining critical dates and tickler files
  • Review and prepare for execution and distribution, leases and exhibits to proper parties
  • Create and maintain a system of tracking expiration date of leases
  • Serving as the liaison between landlord and tenant with regard to each party’s compliance with all provision of the lease
  • Work with property management to ensure certificates of insurance are current
  • Review the tenant move-in and move-out procedures and ensure lease procedures are followed
  • Prepare and follow continual audit schedule of all existing lease document

Lease Administrator Skills and Qualification:

  • Bachelor degree is preferred
  • Must possess a minimum of 3 years of experience in lease administration
  • Extensive knowledge handling real estate leases including handling lease document is essential
